We are currently seeking a high calibre professional to join our team as Executive Assistant
In this role, you will:
- Maintain compliance with all applicable HSBC Group policies, procedures, and regulatory requirements, escalating issues where appropriate.
Provide end-to-end executive support to the Head of GTS, SEA Cluster, and visiting executives, including proactive prioritisation of requests and correspondence. - Coordinate administrative support resources, including oversight of contract administrative staff to ensure effective task allocation, timely delivery, and consistent service quality.
- Manage complex calendars and diaries for senior executives, scheduling meetings across multiple stakeholders and time zones while resolving conflicts and anticipating changes.
- Prepare and quality-check materials such as documents, meeting packs, and presentations, ensuring accuracy, professionalism, and appropriate handling of confidential information.
- Maintain records and documentation using approved central filing and electronic archiving systems, ensuring alignment with audit, retention, and information governance requirements.
- Coordinate travel and expenses for assigned stakeholders, including travel bookings, itineraries, and timely submission of expense claims and invoices in line with Travel & Expense policy.
- Support team operations and engagements, including office administration, logistics for visiting executives, and coordination of team meetings/events (agenda, approvals, communications, and systems entries where required).
To be successful, you will need:
- Demonstrated experience providing executive assistant support to senior leaders in a fast-paced, matrixed environment.
- Strong planning, organisation, and stakeholder management skills, with the ability to manage competing priorities and tight deadlines.
- High levels of integrity, discretion, and attention to detail, with proven capability in handling confidential and sensitive information.
- Sound judgement and problem-solving ability, working independently while knowing when to escalate appropriately.
- Strong written and verbal communication skills, with confidence engaging senior stakeholders and external parties.
- Proficient in Microsoft Office (Word, Excel, PowerPoint) and comfortable working with standard enterprise systems for calendars, travel, and document management.
