We are currently seeking an experienced professional to join our team in the role of VP Facilities Management and Workspace Design and Construction.

 

 

Role Purpose

 

Workspace Design & Construction can be refer to “Capital Projects Lead”. This role is responsible for delivery of Capital Projects in country. ensuring the strategic approach and best practice processes are delivered to manage the supplier appointment, Budget control, Design, Procurement and Programming. Additionally, the delivery of a high-level Sustainability and Risk Management approach which is integrated into all Capital Projects.

 

Facilities Management or Workspace Operations & Services. Plans, directs and controls identification, delivery and operation of Facilities Management (FM) within a country in partnership with vendor providers.

 

Oversees and drives Group standard FM protocols within country.

 

Plans and manages FM activity in alignment with Group CRE strategy.


Integrates FM planning, processes and delivery with:

 

  • Other CRE functions (Strategy and Transactions, Capital Projects, & Operational Risk and Sustainability)
  • Other supporting functions within HSBC
  • External providers

 

Standardises the planning, delivery, operational process for FM within country

 

Appropriately balances risk considerations with cost considerations in the management and delivery of FM

 

Support the utilisation of providers for FM, effective transitioning in of a more heavily outsourced and standardised model.

 

 

Role Context:

 

Provides professional property and technical consultancy advice to business partners within country and its subsidiaries on matters such as property strategies, portfolio rationalization and performance, purchase and sale of property, technical requirements, engagement of consultants, outsourcing, operational risk and direct impact on environmental sustainability. Design and Project Management are a critical factor in the success of these activities.

 

Most property management services such as design management, project management, support services, cost management etc have been outsourced to specialist service providers. CRE interfaces with the service providers in the following way:-

 

  • As the internal client to brief the service providers as to the requirements of the businesses;
  • As a facilitator to enhance the trust and relationship between Business Partners and the service providers; and To selectively monitor performance of service providers

 

The role manages the high-level delivery of FM services within country, functionally reporting to the Head of Facilities Management - In Region.

The effective utilization of external providers will be key in the success of this role. The appropriate balance of in house vs outhouse resources for FM is currently under review.

 

 

Principal Accountabilities

 

Impact on the Business / Function

 

     Capital Projects

 

  • To direct CRE heads in country on all major Capital projects to ensure a consistent professional approach is taken on all aspects of the Management of Capital Projects.
  • To direct all Capital Projects works by managing our external providers and to provide main link between business units & our external providers.
  • To ensure that all Capital Projects information in the Global Group system is up-to date and ensuring that the vendor is accurately reflecting the progress of the project.
  • Contribute to the Development of new regional & Group Design strategic concepts, pilots & standards for both Retail & Commercial Properties.
  • To manage a consistent budget reporting process for all Capital Works.
  • Deliver Capital Projects and Design in support of Acquisitions to ensure a consistent approach. Manage re-stacking exercises to enable development of strategic Metro-plans.
  • To ensure a good understanding of global complex contracts

 

      Facilities Management

 

  • Review and recommend action on proposed property expenditures for FM builds, expansions and upgrades
  • Ensure delivery and operation of FM meets business requirements & service levels are achieved.

 

 

Customers / Stakeholders

 

    Capital Projects

 

  • Develop and maintain positive working relationships with a range of external parties including key suppliers and strategic alliance partners.
  • Develop and maintain positive working relationships with key stakeholders with the business, to ensure that capital projects are successfully delivered in-line with business requirements.

 

 

     Facilities Management

 

  • Work within a CRE Relationship Management structure to effectively interact with Customer Groups within HSBC in relation to FM
  • Define and share material that can be used to educate the HSBC business in relation to FM
  • Benchmark HSBC FM capability and performance in relation to CRE industry best practice, where appropriate across larger portfolios.

 

 

Leadership & Teamwork:

 

     Capital Projects

 

  • To provide advice and guidance to the business and other CRE colleagues regarding Design, Capital Projects and Project Management across the businesses. 
  • Managing expectations to stakeholder to ensure delivery of capital projects within agreed parameters
  • Working with a range of parties to resolve technical and resource issues to meet business needs Work closely with Capital Project Supplier managers where applicable

     Facilities Management

 

  • Work within a CRE Relationship Management structure to effectively interact with Customer Groups within HSBC in relation to FM
  • Define and share material that can be used to educate the HSBC business in relation to FM

      Facilities Management

 

  • Co-ordinate with vendor and CRE functions to ensure proper approval, planning and execution of all new facility builds and / or expansions, as they relate to on-going FM requirements
  • Provide professional advisory and governance services in relation to FM across business and/or geographic area
  • Lead/Participate in major projects as part of multi- disciplinary teams, as required from time to time.
  • Maintain awareness of industry best practice and emerging issues / challenges through membership of select industry focus groups and forums
  • Provide support and advice to business, sharing best practice solutions and processes in FM

 

 

Operational Effectiveness & Control

 

    Capital Projects

 

  • Work with all parties including supplier manager to foster a compliance culture and ensure design standards are correctly applied.
  • Ensuring that all capital projects are properly managed in-line with agreed processes to minimize risk.

 

 

     Facilities Management

 

  • Ensure compliance with all country legislation in relation to FM
  • Ensure that all operational risks associated with FM are maintained at a level acceptable to Regional and Group risk functions
  • Implement a framework and processes for monitoring and reporting the performance and cost of HSBC FM across country
  • Standardise, where appropriate, and leverage purchasing power to optimize pricing / support costs for FM.
  • Maintain HSBC internal control standards, implement and observe Group Compliance Policy and maintain awareness of operational risk and minimize the likelihood of it occurring.

 

 

Qualifications

 

  • Qualification in real estate related subject and/or business, economics, finance, project management. With a minimum 10yrs of working experience in Corporate Real Estate.
  • Extensive experience of delivering capital projects in a corporate environment
  • Excellent construction project management skills
  • A comprehensive understanding of a broad range of FM activities and issues faced by large corporates.
  • Sound understanding of how banks operate, key challenges faced in the operating environment. Demonstrated results in managing FM activities within an equivalent portfolio / major corporate environment.
  • A comprehensive understanding of a broad range of real estate activities and issues A thorough understanding of the country and practices.
  • Comprehensive understanding of how corporates operate, key challenges faced in the operating environment An ability to grasp, understand and independently handle new and existing projects and ideas.
  • Ability to work independently, interact with senior professionals within the Bank and with service providers.
  • Good commercial skills and market knowledge
  • Relevant professional qualification in real estate, ideally in a Facilities Management, Engineering or related discipline.
  • Proven ability and commitment to high standards or customer service and customer relationship management.
  • Demonstrated results in delivering successful risk management and control processes across multiple functions
  • Proven ability to prioritise competing demands, and handle ambiguity
  • Excellent interpersonal and people management skills.
