We are currently seeking an experienced individual to join this team in the role of Senior Executive Assistant based in Jersey.

 

The role holder will provide direct support to the CEO of Channel Islands and Isle of Man (CIIOM), and as required other CIIOM Operating Commitee members. Role holders will exercise confidentiality, tact and diplomacy providing high level support to senior leadership within a dynamic, global fininacial institution. You will need to be skilled in managing complex schedules, cooridinating inter island travel and handling sensitive information with utmost discretion.You will be trusted for delivering seamless support in a fast paced, high stakes setting.

 

 

In this role, you will:

 

  • Act as efficient and courteous gatekeeper, ensuring the Executive is accessible whilst protecting from unnecessary interruptions
  • Ensure the CEO has on-going and timely engagements with external parties across all of the Channel Islands and Isle of Man, pro-actively maintaining knowledge of external key stakeholders. Provide professional briefings as required.
  • Monitor and pro-actively ensure HSBC are represented by CIIOM OpCo members or other Senior Stakeholders at key external events, with CEO attendance where appropriate
  • Provide proactive maintenance of calendar, resolving conflicts in a timely manner and anticipating future requirements. Manage executives inbox, supporting in tracking actions and ensuring timely responses are provided.
  • Support on facilitating, proofing and inputting to regulatory and other external returns that require CEO sign-off to ensure they are submitted in a timely manner.
  • Maintain oversight and ensure accuracy of key documents inclusive of; corporate structure chart, governance structure, CEO scorecard, local business risk assessments.
  • Event coordination and physical support as required for off-sites, townhalls and exchanges. Inclusive of coordinating and tracking attendance levels.

 

To be successful in this role you should meet the following requirements:

  • Strong stakeholder management skills - with capability and confidence to build and maintain strong networs across the islands and internally across the group
  • Demonstrates strong organisational & time management skills, is flexible to change and acts on own initiative
  • Understanding of corporate governance requirements and in-depth knowledge of HSBC CIIOM business
  • Word, Excel and PowerPoint skills are essential
  • Need to have excellent communicational skills and have a methodical approach to tasks
  • Will need to demonstrate attention to detail along with able to work in pressurised environment and manage priorities effectively
  • Self motivated with the ability to work under own initiative and apply critical thinking / problem-solving
  • Excellent customer care and stakeholder management skills
