This function brings together distinct specialisms to drive greater connectivity in how we manage engagement with key stakeholders for HSBC.

Finance teams provide the bank with internal and external financial reporting, forecasting, controls oversight, and stress testing expertise. Specialist areas also manage HSBC’s worldwide tax affairs, group treasury needs, and events for investors and analysts.

In this role, you will:

  • Provide secretariat support for China CFO in handling all administrative duties proactively (including diary and calendar management, internal communications, business travel arrangement, ad-hoc duties).
  • Support the logistics of events/activities on demand such as management forum, Finance team meetings, conferences, CFO exchanges, well-being / team building events and other special events.
  • Support Finance Communications to coordinate / draft communication emails for CFO or other internal circulars on demand, including HBCN FIN weekly communications and be responsible for end-to-end information collection.
  • Help prepare PowerPoint presentations for team events / various communications when required.
  • Take meeting minutes when required and archiving files / documents.
  • Organize and follow up for CFO review and sign-off schedules (regular and ad hoc, including board and various management committees) to ensure a smooth end to end process, and arrange hardcopy sign-offs accordingly where necessary.
  • Maintain and update the China Finance Email Distribution Groups.
  • Translate documents required by HR/ Compliance for CFO (e.g. resume, bio and etc.).
  • Work closely with other departments’ EA/PA to ensure a smooth business operation and collaboration.  
  • Manage and coordinate administrative activities including but not limited to Fusion Procurement & Expenses claims, and Facilities Management (JLL).
  • Responsible for the control and compliance activities such as Physical Access Management, Emergency Marshal & etc. on assignment.
  • Maintain, consolidate and update Finance key metrics including (but not limited to) IT devices and equipment inventory. 
  • Other department level business support tasks on assignments.

 

To be successful in the role, you should meet the following requirements:

  • Graduate qualification
  • Proficiency in MS office applications, including use of Outlook, Word, PowerPoint as a business tool.
  • Outstanding interpersonal and communication skills (both written and verbal in Chinese and English) with a proven ability to communicate effectively and confidently at all levels across the bank.
  • Strong problem solving and planning skills and able to work independently.
  • Attention to detail and timely delivery.  Able to work under pressure to deliver own work within timelines and prioritize competing demands.
  • Proven ability to manage stakeholder issues in a matrix organizational context.
  • Flexibility of approach, together with a ‘can-do’ attitude.
  • Previous experience of HSBC’s internal systems/applications would be an advantage.
  • Team player with proven track record of working with diverse, cross functional teams regionally and globally.
  • Energetic, results focused with a strong work ethic and growth mindset.
