China Management Office (CMO)

China Management Office (CMO) is assisting CEO, DECO and the broader China executive team in entity management oversight, to support for our Branch Managers to aid in meeting the challenges posed by an increasingly complex operating environment in China. On behalf of Country Management, CMO assist our business lines in driving outbound and inbound connectivity and Belt & Road Initiatives, support across wide-ranging, varied initiatives to assist our business operations.

We are currently seeking an experienced professional to join our team.

 

In this role, you will:

  • Organising complex schedules, maintaining diaries and arranging travel and accommodation
    • Book meeting facilities, catering and IT / AV support for meetings as needed.
    • Arranging travel (flights, train, cars, hotels, etc) and detailed itineraries for business trips.
    • Expenses claiming, invoice / payment handling.
  • Build a network and develop relationships with HSBC support functions to ensure the department receives excellent service (Reception, IT, Catering, Travel agency, Facilities Management etc).
  • Support activities, events, resources, meetings, services
  • Carry out non-specialist research and information gathering, tracking meeting action points, and coordinating team meetings as appropriate.
  • Support the onboarding of new staff into the team.
  • The role holder is required to work with a level of autonomy sometimes dealing with issues where considerable judgment is required and must be fully aware of his/her responsibilities.
  • Must be proficient in MS Word, Excel and Powerpoint. Must be willing to learn new systems and tools.
  • Adhere to HSBC policies and maintain confidentiality on sensitive activities in the remit area

 

To be successful in the role, you should meet the following requirements:

 

  • At least 5 years’ experience in an administrative, operational or logistic support role.
  • Proven experience in a senior administrative support role, preferably with the HSBC Group or a recognised corporate with well-developed organisational skills and a proven record of senior stakeholder navigation and influencing skills.
  • Knowledge of the HSBC Group preferrable
  • Proficient in the use of Word, Excel and PowerPoint
  • Strong management skills, diplomacy and gravitas. Calm under pressure.
  • Excellent time management with ability to multitask and to re-prioritise and move things at very short notice.
  • Able to build effective working relationships by communicating, influencing and negotiating at all levels.
  • Confident decision maker with mature judgement and problem solving skills
  • Able to work autonomously, quickly, accurately with minimal supervision to deliver to deadlines under pressure
  • Demonstrates initiative and anticipates requirements, self-motivated, forward thinking and rapid learning capability
  • Experienced in office management
  • Utilises own initiative to resolve issues.
  • Discretion and integrity. Strict adherence to the requirements of confidentiality.
