The Opportunity
This Executive Assistant role provides administrative and secretarial support to a senior or executive manager (GCB 3 and above) or a group of employees. It’s a trusted position where accuracy, discretion and judgement matter because much of the work is confidential and specific to the business area. You’ll keep day-to-day activity running smoothly through diary management, travel planning and high-quality written outputs. You’ll also support reporting and presentations by researching information, maintaining records and producing clear materials. Success means leaders spend less time on administration and more time on customers, colleagues and delivery with risks and controls handled appropriately.
What you'll be doing
- Provide administrative and secretarial support to an assigned senior or executive manager (GCB 3 and above) or group of employees
- Produce letters, reports, memoranda, forms and schedules using PC-based software packages and other equipment
- Create documents and correspondence from general outlines or your own initiative
- Coordinate appointments, meetings and travel arrangements, including accommodations
- Screen mail, correspondence, telephone calls and visitors, responding or acting on behalf of the senior or executive manager
- Research information and data to support reports, presentations and business requests
- Maintain department records and filing systems, ensuring information is up to date and accessible
- Support routine project work and program material preparation including resolving equipment issues and completing forms and follow-up
What we're looking for
- Bring proven administrative or secretarial experience or equivalent
- Demonstrate strong typing capability with high attention to detail
- Apply strong customer service, problem-solving and organizational skills in a busy environment
- Use proficiency with personal computers and relevant mainframe systems and software packages
- Anticipate senior or executive manager needs and handle day-to-day responsibilities with minimal consultation
- Manage multiple tasks while maintaining quality and meeting time-sensitive deadlines
- Exercise discretion when handling confidential information and correspondence
- Navigate company policies and practices to complete work accurately and consistently

Your final fixed pay offer will depend on the candidate and several variables, including but not limited to, role responsibilities, skill set, depth of experience and education, licensing/certification requirements, internal relativity, and specific work location
