Job Role

The Job holder is responsible for ensuring the timely and accurate processing of client instructions, swift message management and reconciliation, static data maintenance and day-to-day administrative controls within HSS.

The role requires strong co-ordination across multiple units within HSS, a working understanding of the custody business and proficiency in tools like Excel.

Principal Accountabilities

Timely distribution of messages received either through swift or faxes to the concerned unit. The message reconciliation is a major task of this resource which is done to ensure that all messages received are distributed to the person concerned for necessary action. On an average, we receive 1000 messages across HSS per day and most of these are time critical as these are all clients’ instructions for further processing.

Job holder needs to have basic knowledge on capital market and functioning of CNC business in order to understand the importance/purpose of the messages received. This helps the person to take timely action on the messages received.

Day-to-day administration

•            Static Data maintenance & controls process authorised static data changes on client and security master records, maintaining dual control to ensure accuracy and timely completion.

•            Departmental mail receipt and distribution

Receive departmental mail and distribute items to staff/teams against acknowledgement for traceability.

•            LaneFax inbox routing and exception management

Manage incoming faxes and email instructions and route it to respective Teams in a timely and accurate manner.

•            Monitor and manually assign inward SWIFT messages using the message tracking system.

Monitor Pending and Rejected messages without keywords or rejected by teams and ensure they’re resolved.

•            MT message reconciliation

Reconcile inward and outward messages in excel using formulae/functions, investigating and resolving discrepancies.

•            NAV / Stock price upload

Perform checks and maintain necessary controls to ensure correct prices are updated on the system.

•            Outward message checking and repair/cancellation

Perform checks to ensure the messages are successfully released from the system.

•            Record keeping and archival (P.N. Writer)

Prepare and archive physical records and coordinating pickup with the archival vendor.

•            Co-ordinate with vendors, teams, etc. to maintain operational efficiency

Major Challenges:

Managing time-critical message distribution within strict daily cut-off timelines.

Ensuring accuracy of static data maintenance where errors can have downstream impact on trade settlement and client reporting.

Experience

Required: 2 to 3 years of experience in financial service operations.

Proficiency in Microsoft excel(formulae, vlookup, pivot tables)

Preferred: Familiarity with capital markets and custody business processes.

Good administrative knowledge of the business.

Qualifications 

 

Minimum Graduation or as required for the role, whichever is higher.
