We are currently seeking an experienced individual to join the Global Legal Function in the role of Legal Team PA. As the Legal Team PA, you will provide high quality, professional and comprehensive administrative support to key leaders within the LREI, FCLA, Competition & Employment Legal UK teams.

This role involves managing complex schedules, travel arrangements, and supporting team-specific tasks and projects. The PA will work closely with the leadership team ensuring seamless operations across global locations.

In this role, you will:

  • Provide high quality diary management and travel services to allocated Legal professionals, managing complex diaries and travel, working across global time zones.
  • Co-ordinate meetings and events for the wider team (including room bookings, catering, AV facilities set up etc.), avoiding scheduling conflicts.
  • Prepare and manage legal documents, reports and presentations for the team, ensuring high standards of accuracy and professionalism.
  • On-board and off board permanent staff and contractors, including raising system access requests, ordering IT equipment, providing joining instructions and day 1 IT set-up and training.
  • Provide administrative support to the team including invoice processing, owning and maintaining document management folders and sites, maintaining office supplies, and other ad-hoc administrative requests.
  • Assist in administration of the IT systems and applications used by the team, including access and content management, liaising with COO and IT teams as needed.
  • Facilitate communication within the team and other departments.

 

To be successful in this role you should meet the following requirements:

  • Prior experience working in a legal environment, preferably private practise law firm.
  • Proven experience reformatting complex legal documents.
  • Prior experience in a team administrative role / PA role supporting Managing Directors is essential. 
  • Organisational skills with the ability to proactively plan, prioritise and organise workload, taking into account conflicting priorities and changing requirements working in a fast-paced environment.
  • Strong relationship skills / ability to communicate effectively both in writing and verbally including with senior stakeholders.
  • Ability to work independently and as an active and participative member of the team, proactively sharing knowledge and experience with colleagues.
  • Proficient in IT packages (Word, Excel, PowerPoint etc) as well as experience using travel, invoicing and expense systems.

 

The base location for this role is London and with a hybrid working pattern.
