We are currently seeking an experienced professional to join our team in the role of Executive Assistant. 

As the role supports senior roles within Strategy, you’ll require sufficient level of expertise, professionalism and discretion. You’ll be required to get involved in a large spectrum of work and/or issues and will need to actively participate in meetings, oversee small projects and have decision making with authority and autonomy.

Responsibilities will include:    

  • Manage end-to-end administrative processes, including diary/time management, travel, workflow, HR administration (HR Desktop changes), holiday coordination, Fusion, and maintaining the Gifts & Entertainment Register (GER)
  • Provide high-touch, in-person secretarial support, ensuring stakeholders receive timely meeting briefings via preferred systems and are supported in the office when required
  • Maintain high availability to deliver instant, effective support in a fast-paced environment with changing priorities
  • Produce and coordinate high-quality materials, including PowerPoint presentations, meeting agendas, and colleague communications
  • Organise and coordinate high-level internal and external engagements
  • Proactively check in with key stakeholders to confirm weekly priorities and adapt plans as requirements change
  • Liaise closely with wider team members to stay informed on critical updates and “need-to-know” information
  • Lead meeting organisation and heavy diary management, scheduling and re-prioritising meetings swiftly to reflect constantly evolving diaries

 

To be successful in this role you should meet the following requirements: 

  • Proven experience working as an Executive Assistant (essential).
  • Exceptional organisational skills, with the ability to manage complex diaries and arrange travel proactively using your own initiative.
  • Proactive relationship-builder, confident partnering with senior stakeholders and collaborating with other Executive Assistants.
  • Strong verbal and written communication skills, with regular, professional engagement across key stakeholders.
  • Clear, concise communication style with strong attention to detail.
  • Comfortable working under pressure and to tight deadlines in a fast-paced environment.
  • Able to manage competing priorities and commitments, prioritising effectively as demands change.
  • Highly proficient in Microsoft 365 (Teams, Outlook, Word, PowerPoint, Excel); confident hosting virtual meetings (Zoom preferred). 

 

The base location for this role is London. Please note there may be occasional requirements to adjust working hours to fit in with different time zones. There may also be a requirement to travel within the UK as part of this role.
