Principal Accountabilities: Key activities and decision making areas
Impact on the Business
• Plan and delivery high caliber and engaging wellness, sports and recreational programmes and facilities
• Creating new activities to stimulate participation rates
• Ensure programmes and activities are delivered on-time and within budget
• Ensure that health and safety of the participants are always considered for each of the activities/events/facilities
• Manage formal records of costs and statistics for individual activity and event to enable on-going review of the efficacy
• Develop and manage entity events and activities communication on digital channel, i.e. WayFoong Apps, newsletter and intranet to drive awareness and participation
• Coordinate with Technology team on the on-going update and releases of WayFoong Apps and new registration platform
• Support in the organizing large scale entity wide events (e.g. Sports Day, Singing Contest and Festive Events)
• Promote and coordinate Community Chest events within the bank and drive staff donations
Customers / Stakeholders
• Liaising with other Departments and external organisations to ensure timely delivery of proposed activities and share best practice
• Support the Sports and Recreation Manager in preparing of event communication and ideas for improvement on digital communication
• Manage and oversee Wayfoong sports club app development and App content creation.
• Monitor app content contribution from users (e.g. staff feedback/survey, staff online sales tool
Leadership & Teamwork
• Maintain an open, dependable, and connected approach when dealing with stakeholders to promote HSBC Brand
• Drive performance through a diversified team which includes departments within the bank, external corporations, corporate sports associations and vendors.
Operational Effectiveness & Control
- Work in partnership with the Sports Club Treasurer and Sports and Recreation Manager to manage the total programme budget
- Ensure adherence to HSBC policy and maintain internal control procedures

• Compliance with HSBC Group standards, whilst accommodating specific organisational requirements
• The job holder is required to plan and organise bank wide employee programmes and events ensuring the successful delivery of employee benefits. It is important to work within budgets and policy but at the same time, dealing with people also requires sound judgment and flexibility with decisions often having to be made on the spot. The role requires a solid network both internally and externally to help develop an interesting and relevant calendar of events and at the same time solicit support for bank wide events and environmental activities.
Role Context (The environment and operating conditions of the role including the extent of guidance and authority)
The job is part of the Wayfoong Sports Club (WSC) which was established in 1974. Its primary objectives are to promote and organise sports and recreational activities for its members, which currently number 23,000.
The job holder is required to promote a full range of employee programmes through digital channels such as the Wayfoong Sports Club App, internet and newsletter, in areas relating to sports, recreation, community, health, retirement, volunteering and environment.
The job holder refers to the GSM and relevant HR manuals and BIMs where possible and will make recommendations on updates to these as and when required. The scope of this post is wide and requires a high degree of initiative, autonomy and discretion
The job holder must be adapt and able to manage internal stakeholders as well as external service providers many of whom are now Global providers to ensure a consistent high standard of delivery and a seamless transition for the customer.

The jobholder will ensure that the fair treatment of our customers is at the heart of everything we do, both personally and as an organisation.
The jobholder will also continually reassess the operational risks associated with the role and inherent in the business, taking account of changing economic or market conditions, legal and regulatory requirements, operating procedures and practices, management restructurings, and the impact of new technology.
This will be achieved by ensuring all actions take account of the likelihood of operational risk occurring. Also by addressing any areas of concern in conjunction with line management and/or the appropriate department.
Observation of Internal Controls (Compliance Policy / FIM requirements)
The jobholder will also adhere to and be able to demonstrate adherence to internal controls. This will be achieved by adherence to all relevant procedures, keeping appropriate records and, where appropriate, by the timely implementation of internal and external audit points, including issues raised by external regulators.
Knowledge & Experience / Qualifications
The role holder will ideally have knowledge and experience in the following areas:
• University (BA) or (BS)
• Demonstrated event organization knowledge, ideally experience of coordination of large scale internal and external events and engagement with vendors
• Ability to interact and manage a cross section of employees are different banding
• Ideally to have experience in managing sports and recreational programmes
• Ability to manage and mitigate operational risk effectively
• Experience working across cultures
• Experience of managing and coordinating events in various locations in Hong Kong
• Understanding of the HSBC Group and its strategy
• Knowledge of the external environment
