Job Title: TA Onboarding Specialist

Purpose of the role

  • We are seeking highly motivated and customer centric Talent Acquisition Onboarder to be manage the onboarding process for new hires, both internal and external.  You will act as the key point of contact from offer acceptance to their first day on the job, delivering an exceptional experience and ensuring a smooth journey from recruitment to immersion.

In this role, you will:

Principal Accountabilities: key activities and decision-making areas

Impact on the Business/Function

  • Manage the end-to-end onboarding process for new hires, both internal and external, delivering an exceptional experience.
  • Collaborate across the relevant stakeholder (including buddy / hiring manager) to develop onboarding plans tailored to the needs of each new hire.
  • Coordinate with various internal teams to ensure our new hires have the necessary resources, such as equipment and workspace, to be successful in their roles.
  • Ensure the creation of staff IDs prior to the new hire's start date, coordinating with relevant teams to ensure timely setup.
  • Communicate the process for updating bank account details on the HR system to new joiners and ensure that they are informed about timelines and requirements.
  • Provide relocation assistance and ensure the execution of the international transfer policy for employees moving between countries, coordinating logistics and compliance with relocation guidelines.
  • Provide guidance and support to new hires throughout the onboarding process, addressing any questions or concerns they may have.
  • Evaluate the effectiveness of the onboarding process and make recommendations for continuous improvement.
  • Initiate vetting for external hires and ensure a vetting recommendation is provided.
  • Ensure compliance with legal requirements, including verifying the right to work, visas, and work permits, prior to onboarding.

Customers / Stakeholders

  • Collaborate with HR partners, hiring managers, and new hires to ensure a smooth onboarding experience
  • Coordinate with various internal departments, such as IT, facilities, and training, to facilitate the onboarding process
  • Interface with external vendors, such as background check providers, to ensure timely completion of pre-employment activities

Management of Risk (Operational Risk / FIM requirements)

  • The jobholder will also continually reassess the risks associated with the role and inherent in the business, taking account of changing economic or market conditions, legal and regulatory requirements, operating procedures and practices, management restructurings and the impact of new technology.
  • This will be achieved by ensuring all actions take account of the likelihood of risk occurring and by addressing any areas of concern in conjunction with line management and/or the appropriate department.

Observation of Internal Controls (Compliance Policy / FIM requirements)

  • The jobholder will also adhere to and be able to demonstrate adherence to internal controls. This will be achieved by adherence to all relevant procedures, keeping appropriate records and, where appropriate, by the timely implementation of internal and external audit points, including issues raised by external regulators.
  • The jobholder will implement the Group compliance policy by containing compliance risk in liaison with Global Head of Compliance, Global Compliance Officer, Area Compliance Officer or Local Compliance Officer. The term ‘compliance’ embraces all relevant financial services laws, rules and codes with which the business has to comply.
  • This will be achieved by adhering to all relevant processes/procedures and by liaising with Compliance department about new business initiatives at the earliest opportunity. Also and when applicable, by ensuring adequate resources are in place and training is provided, fostering a compliance culture and optimising relations with regulators.
