We are currently seeking an experienced professional to join our team in the role of Vetting Analyst.
Principal responsibilities
Governance
- Open cases follow up are either recommended or followed up as per SOP. Escalate if any SLA Impact on entity basis to Manager
- Ensure no cases will go beyond TAT due to Vetting Error delay
- Start date reconciliation control submitted to AVP on a weekly basis highlighting the findings and results.
- Daily check on the new joiner list provided by HR, if there is any current employment authorization pending case, Vetting team to inform the vendor to kick start the check
Regulatory Oversight
- Special monitor on Regulated cases on employment regulated check - on top of the period, reason of leaving and role, ensure additional F&P questions that source needs to answer for the candidate before Case recommendation.
- Weekly engagement for Regulated vetting requires 45 days. Contact recruiter to adjust inital start date if not aligned
Vendor Control:
- Sample Check on Vendor ICR check result in Vendor report and discrepancy explanation provided after fact find to see if aligned to SOP and also uploaded with proper remark in Soteria
- Ensure the accurate candidate information used to perform the regulatory checks and internal banking system check, check to be completed on time and manage the hit as per the regulatory requirements; Execute the with 100% quality and record in the case management tool;
- Credit check engagement with HSBC to submit on a daily basis copying Vetting Team, Manager while the case is initiated. Weekly 5% random check to see if the cost code is used correctly, Escalate to manager if any discrepancy
- Sample Check on Vendor local check result in Vendor report and any match found response provided after fact find to see if aligned to SOP and also uploaded with proper remark in Soteria. Review the evidence and information uploaded by the vendor which used to clear any adverse finding or discrepancy in case management tool is accurate or not
Internal Control
- Monitor if the case with major discrepancy has been follow up by Vendor within 5th working days, any delay in follow up should escalate to Manager
- Review the case with DNH/Exit Recommended decision before the case is escalated to Regional Vetting Team for their agreement. The recommendation can be share to HR once the approval from regional vetting team is obtained.
- Daily Monitor on Vendor Case initiation; Insufficiency Follow up; Case earliest Recommendation; Case Final Recommendation report; Identify Vendor delay against required timeline; Record Case Delay and escalate to manager on a weekly basis.
- Review the progress sheet sends by the vendor to identify the cases which have major discrepancies as per the discrepancy matrix. Collate all cases which have discrepancies and ensure Vendor to take appropriate route for case handling / decision, update the Soteria with corresponding outcome.
Delivery against Standard.
- 100% Review on Review before recommendation; Review all result required for Earliest Recommendation in Vendor report based on package and any match found response provided after fact find to see if aligned to SOP and also uploaded with proper remark in Soteria;
- Review all check results required for Final Recommendation Vendor report based on package within Final report Timeline. Work towards Aged cases reduction and KCI On track.
- Support the delivery of projects. Ex: Re-Vetting, Insourcing, Grads Programmed, Non-Exective Directors, Individual Accountability Regime, roles etc
Quality
- Daily Address Vendor referrals in terms of Critical case follow up; Identify knowledge gap to reflect to Management & Training Team for follow up Training
- Ensure that the process requirements are met, adhered to, completed in accordance with established procedures, standards set and process SLA
Requirements
- Knowledge of global Vetting processes and systems
- Knowledge of various regulation in different countries relating to employee vetting
- Ability to exercise analytical logical, Investigation Skills and judgemental skills in considering vendor objections pertaining to verifications
- Excellent verbal and written communication
- Confident in presenting material to all levels
- Basic computer knowledge. (Well versed with MS office, Windows 7, and Outlook etc...)
- Flexibility to work in shifts;
- Ability to build rapport with wide range of people across different functions
- Ability to maintain focus while working with voluminous / critical data.
- The ability to work under pressure, meeting deadlines.
