We are currently seeking an experienced professional to join our team in the role of AVP Vetting Operations
Principal responsibilities
Impact on the Business [COMPLETE 3-4 AREAS]
Risk Management
• Escalation of key issues/decisions. Driving the right behavior in team, across wider organization, working with other lines of defense and demonstrating Risk Awareness and Future Thinking.
• Proactive identification and escalation of issues with clear and timely actions monitored regularly to completion:
• Escalate Emerging Risk to proper Forum and follow up with mitigation and Facilitate Path to Green
• Review of Internal Events escalations to ensure all have met the escalation criteria
• Ensure HELIOS Data Quality aiming to have Nil Non-Financial Risk Data Quality (NFR DQ) Exceptions not addressed within 90 days.
• Mitigate internal errors and operational losses within the team by proactively implementing process improvements to solve the root cause.
Control and oversight
• Daily Weekly vetting KCI&KRI control; Weekly KPI Dashboard
• Monthly performance management Control; Regional MI Reporting to all stake holders as per timeline and accuracy. Oversight on the other regional MI
• Vendor management performance monitoring
• Monthly Collect evidence of Facilitate CMA control and MSII action
• Weekly & Monthly Capacity monitoring
• Overall Headcount & Cost monitoring
• Responsible to provide info and deliver accurate PMI result
Governance
• Establish and maintain effective governance practices across teams to ensure consistent and standardized execution of processes: and ensuring potential deviations or issues that may impact service performance are discussed, addressed or escalated as applicable to management via the relevant governance forums in place
• KCI Monthly Review and escalate to Second line of defense if risk identified and work on mitigation
• Support auditors by timely submission of requested evidences, documents and process walkthroughs.
• Implementation of recommendations from the process reviews and take appropriate action from read across
• Compliant to all local regulations & policies / Ensure AML and Sanctions awareness is embedded and policies complied with
• Accountability of closure of audit findings, within agreed timelines. Assist team in the completion of Audit Checklist for processes within their remit to ensure Audit Preparedness and review of Controls
Change delivery - Progress digitization to drive scalable solutions that enable volume agnosticism
• Drive Innovation and Efficiency - Identify and implement process improvements, including automation
• Drive High performance culture
• Promote Sustainable Practices - Engage in sustainable practices that positively impact the environment and customer outcomes
• Participate in automation / transformation / continuous improvement initiatives.
• Support process optimization simplification to improve overall work efficiency.
• Participate and support to any sustainability initiatives
• Complete actions aimed at reducing environmental impact
Customer & Stakeholder management– Improve customer experience
• Champion Service Excellence- Deliver exceptional customer experience by providing timely and accurate MI and insight
• Enhance Operational Efficiency - Aim for proposing ideas for increased productivity to optimize service performance
• Proactively Address Risks - Identify and escalate risks promptly to maintain service quality.
• Timely mitigate Stakeholder query / escalation; Manage stakeholder expectation. Timely respond and action to stakeholder's enquiry
• Identify and escalate stakeholders’ complaint to provide actionable solution.
• Participate in regular meetings with stakeholders and complete meeting formality. Complete regular performance review and build good rapport with stakeholders.
• Proper Day-to-day work prioritization and collaboration with vetting vendor.
• Communicate with stakeholders clearly and efficiently
Requirements
Functional Knowledge
• Knowledge of Global Vetting processes and systems
• Ability to exercise analytical and judgemental skills in considering vendor objections pertaining to verifications
• Excellent Vendor Management and navigate among barriers in improving performance standard and effectiveness.
• Confident in presenting material to all levels & Trainings to the team on process updates
• Ability to build rapport with wide range of people across different functions
• Ability to maintain focus while working with voluminous / critical data.
• The ability to work under pressure, meeting deadlines.
• Maintain highest levels of integrity
• Ability to build relationships by communicating, influencing and negotiating effectively with business heads, senior managers, consultants, technical experts across the whole department and business area
• Pro-active and business orientation with proven ability to prioritize and manage conflicting demands and ability to assess stakeholder needs to improve customer experience and showing resilience under pressure and providing best in class solutions,
• Positive ‘can do’ attitude and Flexibility in working hours.
Candidate with less relevant experience or skills may be offered a lower Global Career Band than stated above.
