Job description
We are seeking an experienced professional for a Senior Executive Assistant. The role of the Senior Executive Assistant is to provide full EA support to include secretarial, administrative and business support. This role will require the role holder to deal with multiple and sometimes complex enquiries. There is a high volume of work which will require a thorough and thoughtful response, ensuring deadlines are met in an often time pressured environment. It will be necessary for the role holder to be highly adaptable, resilient and proficient in senior stakeholder management. Given the Regional nature of the role, flexibility is key to allow the Senior Executive/s to operate effectively across multiple time zones.
The role reports to Chief Risk and Compliance Officer, Asia and Middle East.
In this role you will:
- Provide effective and efficient day to day secretarial support to the senior executive with Global and Regional accountabilities
- Organise complex schedules, manage conflicts, co-ordinate activities, events, resources, meetings, and liaise with internal/external stakeholders
- Coordinate and arrange team meetings; ensuring team records/MI are up to date
- Arrange travel and accommodation, coordinating and using initiative in managing itinerary times, expenses and processing complex visa applications, whilst ensuring adherence to policy and keeping control of costs
- Visitor/telephone screening and handling of internal / external correspondences
- Perform ad hoc assignments as required, productively managing a substantial workload without sacrificing quality
- Maintain HSBC internal control standards, implement and observe Group Compliance Policy and maintain awareness of operational risk and minimize the likelihood of it occurring.
To be successful you will need:
- Proven administrative or secretarial experience or equivalent.
- Effective time management, planning, organizing and problem solving skills
- Excellent understanding or ability to quickly learn HSBC structures, processes and objectives across the Group
- Ability to anticipate senior/executive manager needs as well as operate independently and handle majority of responsibilities without consultation
- Proven ability to work collectively
- Strong written and verbal communication skills – the ability to communicate complex issues concisely
- Good interpersonal skills and numerical sense
- Pleasant telephone manner and fluent in spoken English and Mandarin
- PC skills: Outlook, Word, Excel, PowerPoint as well as the core HSBC approval systems
- Ability to adapt to a wide range of work procedure and operational guidelines
- Good attention to detail and the ability to prioritise and work under a tight schedule and pressure
