UK Lending is a team within UK Commercial Banking (UK CMB), supporting frontline colleagues in the distribution of the products we design and maintain, to meet the needs of our customers from Small & Medium Enterprise through to Large Corporates. It is responsible for delivery of a great client experience and growth by constantly improving the end-to-end journey for lending including design, build, marketing, provision maintenance, regulatory risk, Operational Resilience and performance.

 

HEF is one of the largest Equipment Finance providers in the UK and a separate subsidiary within the HSBC Group. It is a dynamic business which is growing through an expansion of both product proposition, asset classes and routes to market supporting the full spectrum of HSBC business customers including both CMB and CIB in the UK.

 

 

We are currently seeking an experienced individual to join this team in the role of Executive Assistant supporting two MDs. This role is a job share (0.6FTE) where the successful candidate will undertake the role with another 0.6FTE. Colleagues will overlap 1 day to ensure seamless coverage and handover.

 

In this role, you will:

  • Be responsible for diary management and meeting organisation. Taking initiative to schedule meetings into the diary, acting swiftly due to working ever changing diaries.
  • Support team admin – ad hoc support to the senior leadership team with diary arrangements and supporting the wider team with invoices, procurement, onboarding.
  • Compilation of team reporting including Quarterly Business Reviews, weekly updates and adhoc requirements
  • Plan Leadership and team meetings and complete minutes and follow up action tracking
  • Document management and record administration – maintaining records, information resources and data sources as required
  • Stakeholder Management - serve as the primary point of contact and gatekeeper between senior management and internal and external stakeholders.
  • Arrange travel and accommodation – Book travel to tight timelines and ensure all travel is booked in line with HSBC policies and complete expenses returns as required

 

To be successful in this role you should meet the following requirements:

  • Previous experience in similar Executive Assistant roles is essential.
  • A track record of strong organisational skills and time management with ability to multitask and to re-prioritise in very short timescales.
  • Strong verbal and written communication skills as there will be regular communication with key stakeholders.
  • Experience of building and managing internal/external relationships, demonstrating a flexible and collaborative approach to work collaboratively with immediate and wider team members.
  • Strong stakeholder management including owning and resolving issues with all stakeholders.
  • Confident in your approach, proactive and methodical and can work under pressure, to extremely tight timelines as well as carrying out multiple tasks simultaneously.
  • Adherence to all applicable operational risk HSBC Standards and policies, reporting any breaches in accordance with local procedures
  • Keep up to date on knowledge of HSBC's international and domestic strategy, capabilities and policies including an understanding of HSBC Financial Crime Risk and AB&C/Gift & Hospitality policies

 

This is a hybrid role with Birmingham as the base location.
