We are currently seeking an expert individual to join this team in the role of Executive Assistant within the HBUK Finance team.

 

In this role, you will:

  • Work with Finance MDs within all aspects of their daily work routine such as day-to-day diary management, including scheduling meetings, appointments and review time, exercising discretion in committing time and evaluating needs.
  • Support the team by organising workshops, events and meetings as required. This may include minutes and action tracking, logistics (e.g., book meeting facilities, catering and IT / AV support).
  • Travel bookings to tight timelines and expense management.
  • Collaborate with relevant internal stakeholders, across all lines of business and functions as required and acting as a point of contact for the team.
  • Maintain various department records on behalf function (e.g. FTE lists and organisation charts).
  • You will be required to cover other HBUK Finance Executive Assistants.

To be successful in this role you should meet the following requirements:

  • Demonstrable experience in an EA/administrative support role.
  • Hold excellent organisational skills with experience of building and maintaining strong relationships with senior stakeholders (all levels of seniority).
  • Time management skills with the ability to multitask, prioritise and move things at very short notice whilst remaining calm under pressure.
  • Pro-active, flexible, and highly energetic, you will be confident to utilise your own initiative to resolve issues and have an ability to pay attention to detail.
  • Strong verbal and written communications skills.
  • Ability to collaborate with other Executive Assistant’s.
  • Understanding of frequently used computer software and programs such as Microsoft Office.

 

The base location for this role will be Birmingham and with a hybrid working pattern.
